đŸŒ¿ Privacy & Confidentiality

A safe, secure space where your information is protected.

At Creating Your Balance Counselling Therapy (CYBCT), your privacy is a top priority. I am committed to providing a safe, confidential environment where you can share openly and feel supported. This page outlines how your personal information is collected, stored, and protected in accordance with Canadian privacy legislation and professional ethical standards.

Your Confidentiality Matters

Everything you share in counselling is kept strictly confidential. Your information will not be shared with anyone unless you provide written consent or unless required by law.

Confidentiality may need to be broken only in rare circumstances, such as:

  • If there is an immediate risk of harm to yourself or someone else
  • If a child or vulnerable person is at risk
  • If records are subpoenaed by a court order
  • If required by professional regulatory standards

If any of these situations arise, I will make every effort to discuss the situation with you whenever possible.

How Your Information Is Stored

I use JaneApp, a secure, Canadian‑based practice management platform, to store and manage client information. JaneApp uses industry‑standard encryption and security protocols to protect your data.

JaneApp is used for:

  • Scheduling and appointment reminders
  • Secure video sessions
  • Clinical notes and documentation
  • Billing and receipts
  • Secure messaging

All information stored in JaneApp is encrypted and hosted on secure Canadian servers.

Your Personal Information

The information collected during intake and throughout counselling may include:

  • Contact information
  • Emergency contact details
  • Relevant personal history
  • Session notes
  • Payment information (processed securely through JaneApp)

This information is used solely for the purpose of providing counselling services and maintaining accurate clinical records.

Virtual Counselling Privacy

Virtual sessions are conducted through JaneApp’s secure, encrypted video platform. To help protect your privacy during online sessions, please ensure you are in a quiet, private space where you feel comfortable speaking openly.

Email & Electronic Communication

Email is used for administrative purposes only (e.g., scheduling, receipts, general inquiries). Because email is not fully secure, it should not be used to share sensitive personal information.

Access to Your Records

You may request access to your clinical record at any time. If you would like a copy of your file or wish to have information shared with another provider, written consent is required.

How Long Records Are Kept

Client records are securely stored for the period required by provincial regulations and professional standards. After this time, records are permanently destroyed in a secure manner.

Questions About Privacy?

If you have any questions about confidentiality, privacy practices, or how your information is handled, you are welcome to reach out at any time. Your comfort and trust are essential to the counselling process.
